Quick answer
Convert the PDF, download QBO or QuickBooks CSV, then in QuickBooks Online go to Banking › Transactions › Link account › Upload from file, choose the file and map it to the right bank or credit card account.
Step by step
- Convert the statement and confirm it shows Reconciled.
- Export as QBO (recommended) or QuickBooks CSV.
- In QuickBooks Online open Banking › Transactions.
- Choose Link account › Upload from file and select the file.
- Pick the QuickBooks account to import into and confirm.
- Categorise or match the imported transactions in the For review tab.
Backfilling history
Bank feeds in QuickBooks Online typically fetch only the last 90 days. Converting older PDF statements is the standard way to bring in prior months for catch-up bookkeeping or a new client's opening balances.
Frequently asked questions
Will QuickBooks Online accept credit card QBO files?
Yes, as long as you import into a credit card account. Our credit card exports use the credit card statement structure.
QuickBooks says the file is unreadable. What now?
Try the QuickBooks CSV export instead, and check that the dates match your QuickBooks region. See the help article on import errors.
