Privacy policy

This policy explains how StatementPilot ("we") handles personal data when you use StatementPilot. Contact: support [at] docuclipper [dot] net.

Data we collect

  • Account data: name, email address, password hash, and profile data from Google or Microsoft if you sign in with them.
  • Uploaded documents: the statements you upload and the transactions extracted from them.
  • Billing data: plan, usage and subscription status. Payment details are collected by Polar, our merchant of record.
  • Technical data: IP address, browser type and request logs used for security and abuse prevention.
  • Analytics and advertising data: pages viewed, device and approximate location collected by Google Analytics, and ad-related identifiers used by Google AdSense on our public pages, subject to your cookie choices (see Cookies below).

How we use it

  • To provide the service: extract, reconcile and export your statements (performance of contract).
  • To secure accounts, prevent abuse and enforce plan limits (legitimate interest).
  • To send transactional email such as verification and password resets.
  • To meet legal, tax and accounting obligations.

We do not sell personal data and do not use your documents to train AI models.

Retention

Original files are deleted 24 hours after processing. Extracted data is kept for your plan's history window, then deleted. Account data is kept until you delete your account. Billing records are kept as required by law.

Processors

We use a small number of subprocessors (hosting, AI extraction, email, payments) under data-processing agreements.

Your rights

Depending on where you live you may have rights to access, correct, delete, restrict or port your data, and to object to processing. You can delete jobs and your account directly in the app, or email us. You may also complain to your local data-protection authority.

Cookies, analytics and ads

We use strictly necessary cookies for sign-in sessions and to remember your cookie choice. These are always on.

  • Google Analytics (GA4) measures how the site is used (pages visited, referrers, device type). It is provided by Google Ireland Ltd / Google LLC.
  • Google AdSense shows ads on our public pages such as guides and the blog. Ads are never shown inside the app, on sign-in or account pages, or during checkout. Google may use cookies to serve and measure ads; personalised ads are only shown if you accept.

We use Google Consent Mode v2. In the EEA, the UK and Switzerland, analytics and advertising cookies stay off until you choose “Accept all”. Elsewhere, cookieless or anonymous analytics may run by default, and ad personalisation stays off until you accept. You can change your choice at any time with “Cookie settings” in the footer. We will post updates here and change the date above. Material changes will be emailed to account holders.
